About the role

We are seeking to recruit an Operations Coordinator to join our European Operations team. In this position, you will play a central role in coordinating all activities related to service case processing, case ownership, and service-related communications. You will be supporting the European Service department, which manages installations, maintenance, and repairs of Nikon microscopy products throughout the region. Your collaboration with this team will be crucial in ensuring our customers receive prompt, efficient, and high-quality support for their equipment.

 

Your key responsibilities will include maintaining essential databases, ensuring timely follow-up of RMA and repair processes, applying rigorous quality control, and delivering best-in-class customer service and stakeholder communications. These efforts will directly contribute to the expansion and growth of Nikon’s services and product offerings.

 

We are looking for a positive and proactive individual with experience in order processing, RMA handling, and procurement within SAP and MS Dynamics. As part of our growing Healthcare business, you will work closely with Management, Service Engineers, Application & Technical Specialists, Branches, and Distributors. This position requires a strong commitment to excellent customer communication and high attention to detail. Your support of the European Service department will be instrumental in maintaining our reputation for operational excellence and reliability, ensuring that our microscopy products continue to meet the high standards expected by our customers.

Main Responsibilities

  • Own the process and associated data records for all service team cases registered in the CRM from creation to closure

  • First line communications and support for all enquiries related to service team cases including issuing of RMA’s

  • Use and maintenance of ERP data (SAP) and CRM (MS Dynamics365) to accurately communicate to all stakeholders of relevant reports and documents, create quotations, generate RMA’s, estimate repair times maintain case status & process invoices

  • Escalate problems and outline possible solutions to management level when issues occur

  • Maintain excellent relationships with all shipping, logistic and freight forwarding companies

  • Support the processing of stock and asset movements within the ERP tool

  • Support stock counting in accordance with defined schedules

  • Review usage trends and adjust stock levels as needed

  • Identify and manage obsolete or slow-moving parts

  • Review, propose and participate in maintenance and changes to improve business process and efficiencies including but not limited to; process flows and SOP’s.

  • Work with supply and sales coordinator to support planning of pre-configurations and deliveries

  • Register and support investigation of insurance claims for lost or damaged stock

  • Support the delivery and coordination of service training

  • Inventory management, stock levels and lead time monitoring

  • Forecasting of spare parts demand, historical analyses, safety stock and lifecycle reporting

Vereisten

Required Profile

  • Minimum MBO education level

  • At least 2 years of experience with service administration including order processing and standard operating procedures

  • ​Proficient in the use of MS Office and experienced in CRM & ERP tools, with SAP & MS Dynamics highly desired

  • Practical experience of creating and/or modifying Process Flows and Standard Operating Procedures

  • Fluent in English, preferably in Dutch. Other languages desirable

  • Approaches problem-solving creatively & systematically to reach optimal solutions

  • Ability to manage projects and workloads according to priorities and deadlines

  • Excellent interpersonal skills and ability to build trust and interact with people from different cultural backgrounds

  • Strong attention to detail, accurate and organized

  • Capable of lifting/handling physical equipment (<25Kg)

  • In possession of a valid driver’s license

  • Living within the area of Amstelveen, The Netherlands
